Electronic Visit Verification · Home care
Every visit, recorded the way your state requires.
VisitOpts captures home care visits at the door and sends them to your state's EVV system in the format that state expects. Scheduling, the caregiver app, compliance tracking, clinical records, claims and payroll run from the same visit record.
For Medicaid home care agencies: personal care, attendant care and HCBS waiver services.

- State EVV aggregator
EVV rules are set state by state. So is VisitOpts.
Each state chooses its own EVV system, Medicaid ID format, correction rules and service codes. Rather than one national form with a state field, VisitOpts keeps a separate rule set for each state and applies it to every agency in that state, from the first clock-in to the claim.
State by state
Wherever your agency operates, its state's rules come first
Every state Medicaid program sets its own EVV requirements. Before your agency goes live, VisitOpts sets up your state's rule set: its EVV aggregator, Medicaid ID format, service codes, visit questions and correction rules. Your caregivers and office staff then work to those rules without having to learn them.
| For example | Minnesota | Ohio |
|---|---|---|
| State EVV system | HHAeXchange | Sandata |
| Client Medicaid ID | MHCP ID, 8 digits | Ohio Medicaid ID, 12 digits |
| Asked at clock-in and clock-out | Time, location and service | Also: at the home or in the community |
| Correcting a visit | State reason and action codes | Reason code 99 with a signed attestation |
| Compliance tracking | Quarterly real-time rate against the state's 80% target | Each claim needs a matching verified visit |
| Programs | PCA, CFSS and 245D HCBS waiver services | State plan, Ohio Home Care, MyCare, DODD and PASSPORT |
The same visit, two very different sets of rules. Tell us where your agency operates and which programs you run, and the demo will walk through your own state's requirements.
Product
One visit record, from the schedule to the paycheck
The office works in a web console. Caregivers work in the app. Both read and write the same record, so nothing is typed twice.

Build the week, fill open shifts and see who is on a visit right now.
- Recurring schedules and quick weekly entry
- Live view of visits in progress
- Live-in arrangements with caregiver attestation
Know where you stand before an audit does
Visits go to the state EVV system automatically, and rejections come back with a plain explanation of what to fix.
- Compliance rate by quarter and by month
- Alerts before state data deadlines
- Every correction logged with who, when and why
Authorizations, training and app access
Each client's authorized services and units, each caregiver's training and expiry dates, kept next to the schedule.
- Service authorizations checked at clock-in
- Overdue required training can block app sign-in after a grace period
- Intake pipeline for new referrals
The forms your programs require
Assessments, care plans, incident reports and program-specific forms, built in and shown only for the programs your agency is licensed for.
- Every form records who wrote or changed it
- Role-based access for office staff
Claims built from verified visits
Professional claims (837P) are generated from accepted visits and checked against each client's authorization before they go out.
- Medicaid and managed-care payers
- Private-pay invoices at your own rates
- Overnight visits split at midnight, one date of service per line
- Claim files available to download at any time
Timecards that match the visits
Timecards come from EVV visits, so the hours you pay are the hours you can prove.
- Review and approval before payroll
- Payroll reports on your pay schedule
Caregiver app
An app caregivers can use on their first shift
Clock in, see the week, check hours and estimated pay. The app asks only what the caregiver's state requires, and nothing more.
- One-tap clock in and out. Time and location are captured at the client's home.
- Works without signal. Clock events are saved on the phone and sent when the connection returns.
- One visit at a time. The app won't start a second visit while one is open, except for shared care your state allows.
- Manual entry when needed. Pick the client's authorized service and see the time left today.
- Hours and pay. Hours this pay period and an estimate of earnings.
